How Ontario Initiative Network collects, uses and protects personal information under Canada's PIPEDA and anti-spam law, and the terms for using oinweb.ca.

Ontario Initiative Network (OIN) is a non-profit social enterprise based in London, Ontario. This page explains what personal information we collect, why, how we protect it, and the rights you have over it. It also sets out the terms for using this website.
Privacy policy
The law we follow
In Ontario, the handling of personal information by private-sector organizations is governed by the federal Personal Information Protection and Electronic Documents Act (PIPEDA). As a non-profit, OIN is not covered by PIPEDA for every activity, but we apply its ten fair information principles to all of the personal information we hold. Our electronic messages follow Canada’s Anti-Spam Legislation (CASL).
Personal information means information about an identifiable individual, such as your name, email address, home address or telephone number.
What we collect
- When you write to us. Your name, your email address and whatever you choose to tell us in your message.
- When you take part in a program or event. The information needed to register you and to deliver the program, which we will describe when we ask for it.
- When you visit this website. The site uses no cookies, no analytics or tracking tools, and no advertising. Like every web server, ours records technical information about each request: the IP address, the browser, the page requested and the time. We use these logs only to keep the site secure and working, and we delete them after a limited period.
This website does not ask you to create an account and has no forms that collect personal information.
How we use it
We use personal information only for the purpose for which we collected it: to answer your message, to deliver a program or event you signed up for, to keep our records as the law requires, and to protect the security of our website. If we want to use it for a new purpose, we will ask you first.
We do not sell, rent or trade personal information. We may share statistics that do not identify anyone, for example to report to a funder on how many people a program served.
Consent
We collect, use and disclose personal information with your consent, except where the law allows otherwise. Consent can be express (you tell us yes) or implied (you email us and expect a reply). You can withdraw your consent at any time, subject to legal or contractual limits, by writing to us. If you do, we may no longer be able to provide some services, and we will tell you if that is the case.
Who we share it with
We share personal information only:
- with service providers who work on our behalf, such as our web host and email provider, who may use it only to provide that service to us and must protect it;
- when the law requires us to, for example in response to a court order; or
- with your consent.
Some of our service providers may store or process information outside Canada. When they do, the information is subject to the laws of that country, and may be accessible to its courts and authorities.
How long we keep it
We keep personal information only as long as we need it for the purpose it was collected for, or as long as the law requires. After that we securely delete or destroy it.
How we protect it
We protect personal information with safeguards suited to how sensitive it is: access limited to the people who need it, passwords and encryption, and secure storage for paper records. Everyone who handles personal information for OIN is expected to follow this policy.
If a breach of our safeguards creates a real risk of significant harm to anyone, we will report it to the Office of the Privacy Commissioner of Canada, notify the people affected as soon as possible, and keep a record of it, as PIPEDA requires.
Accuracy
We try to keep the personal information we hold accurate and up to date. If yours changes, or you find something wrong, tell us and we will correct it.
Your right to access
You can ask whether we hold personal information about you, what it is, how it has been used and who it has been shared with. Send your request in writing to our Privacy Officer (below). We will answer within 30 days, or tell you within that time if we need longer and why, as the law allows. There is no charge for a request, or at most a minimal one that we will tell you about in advance. If we cannot give you access to some information, we will explain why, unless the law prevents us.
Email from OIN
We send newsletters and other messages about our programs only to people who have agreed to receive them. Every such message says who it is from and includes a simple way to unsubscribe, and we act on an unsubscribe request within ten business days. Replies to your own messages, and messages about a program you are registered for, are not affected by unsubscribing.
Children
This website is for a general audience and is not directed at children. We do not knowingly collect personal information from children under 13 through it.
Links to other websites
This site links to other websites, including our pages on Facebook and Twitter. Those sites have their own privacy practices, which we do not control. Please read their policies before you give them personal information.

Concerns and complaints
If you have a concern about how we have handled your personal information, please contact our Privacy Officer first; we will look into it and reply. If you are not satisfied with our answer, you can complain to the Office of the Privacy Commissioner of Canada (opens in a new tab), toll-free at 1-800-282-1376.
Changes to this policy
We may update this policy as our work or the law changes. The date at the top of this page says when it last changed.
